Artena tracks and manages students from their initial enquiry, through admission and enrolment, to graduation.

Artena is a powerful, easy-to-use student management system developed to meet the requirements of the tertiary education sector, specifically complying with New Zealand requirements. Artena offers tertiary providers maximum efficiency through a rich range of features, managing students from their initial enquiry, through admission and enrolment, to graduation.

 

Artena integrates all requirements of tertiary administration into one package. It has been developed with input from New Zealand Polytechnics, Institutes of Technology, Colleges of Education, Te Wānanga, and Private Training Providers.

 

The system is continually being enhances, and the input from the user community plays an important role in shaping the product development roadmap of the Artena system.

Sector Unfunded International Provider Bureau Service (SUBS)

The UIP Bureau Service provides a facility for PTE’s to submit compliance data to the Ministry of Education’s SDR system in electronic format. 

This service has been developed to assist UIP institutions with a facility to comply with the MOE requirements in terms of SDR submissions.

The UIP Bureau Service is fully compliant with the MOE data transfer. The process for using the Bureau Service is outlined below.

To ensure you understand fully what the Ministry requires of you we suggest you visit the MOE website to familiarise yourself with their requirements.

 

Process

After the Bureau Service Agreement has been signed there are three phases during the contracted period:

  1. Setup
  2. Initial loading of the data
  3. Business as usual.

 

Setup

  • Adapt IT will provided templates (and other setup material) which the client needs familiarise themselves with, as well as the Ministry data requirements (http://steo.govt.nz/uip)
  • The client (in discussion with Adapt IT if required) determines how the templates will be populated and populates templates with sample data for training and test purposes
  • The client submits sample data via a secure file transfer protocol (sftp) to Adapt IT to run validations, resolve issues and agree to proceed to the Initial Load.

 

Initial Load

  • The client submits all existing data for 2016
  • Adapt IT runs validations and submits valid data to MoE
  • Adapt IT returns invalid data to the client where applicable
  • The client corrects invalid data and resubmits until all data is successfully sent to MoE by Adapt IT.

 

Business As Usual

  • The Client submits data on an ongoing basis to Adapt IT
  • Adapt IT runs validations and submits valid data to MoE
  • Adapt IT returns invalid data to the client where applicable
  • The client corrects invalid data and resubmits until all data is successfully sent to MoE by Adapt IT.

 

NOTE:

Adapt IT also has a student management system, the Artena system, that is fully compliant with the UIP data transfer. Adapt IT was the first vendor to receive compliance from the Ministry to include the UIP data transfer in our student management system Artena. Please contact us if you wish to consider this option.

ArtenaSP and Online Enrolment

The Artena Student Portal provides institutions with a facility to manage online enquiries and enrolments, with the added functionality for students to do online queries in a secure way.

The Online Enrolment functionality provides institutes with an API / Interface which can be used to transfer data to and from their own student facing pages.

 

The Student Portal complements the Artena system. ArtenaSP can be made available to the public and student body via the internet.

Without having a login, Interested parties can:

  • View, enrol in courses/programmes
  • Submit enquiries to the institute
  • Create an account

Once registered with the institute students are able to:

  • Update personal information
  • View basic details of study contracts
  • View academic results with a status of Complete
  • View financial transactions
  • Submit feedback
  • Make an enquiry
  • Complete a survey

All of the above actions are uploaded into Artena (via an automated process) as pending requests for site validation. Once in Artena these requests are approved or rejected by authorised staff. There is no need to re-enter information as submitted by students and prospective students manually into Artena. Approved requests will be automatically processed in Artena.

ArtenaSP is continuously being enhanced to meet the requirements of a modern-day institute.

ArtenaBI

ArtenaBI collects and displays data from the Artena system in graphical form for senior managers to access and interpret.  Key metrics can be tracked against targets, with data monitored in near real time.

Artena Business Intelligence provides a management reporting framework to give you all of the statistical information you need to measure how your institution is performing.

There are flexible options in terms of which reporting tool you want to use to work with the data made available by ArtenaBI. These are explained below:

 

ArtenaBI Reporter

This is a reporting tool developed to display information delivered by ArtenaBI. It provides real-time information in the form of student counts, EFTs reporting and Education Performance Indicator (EPI) informantion. It is designed for information to be shared across your organisation. ArtenaBI Reporter is available with Artena with no extra charge.

 

ArtenaBI Cubes

The ArtenaBI cubes allow you to choose your favourite reporting tool (examples are Microsoft Excel, SSAS, ReportPortal) to work with the ArtenaBI data and produce the information you need in your prefered format.

ReportPortal is a reporting product that Artena clients can purchase under a group license. ReportPortal has an extensive feature list including:

  • Design your own BI reports
  • Share your reports across your organisation
  • Dashboards
  • Red Light / Green Light reporting
  • Scheduled reports

and much more.

 

Education Performance Indicator Reports

The EPI reports available in ArtenaBI are based on the EPI Specifications outlined by TEC. The interface takes these EPI data sets and, based on user chosen criteria, calculates the data in real time to present the result to the user. This allows the user to customise their reports as required as well as a having a variety of fields that can be viewed at once.

 

Aware Lite
Aware Lite collects and displays data from the Artena database in graphical form for senior managers to access and 
interpret.  Key metrics can be tracked against targets and SMS data monitored in near real time.
Aware Lite allows users to:
* View EFTS and EPI data via pie, bar or line chart
* Drill down through each chart to show more specific layers of data
* Choose a set of default charts to be displayed for quick access
* Save snapshots so comparisons can be made.
* Export and print the reports
The Aware Lite application comes preloaded with the relevant reports.  As the reports are extracting the data 
directly from Artena the information is real time.  Targets, budgets and filters can be set allowing the ability to 
drill down to programme/course level and to view by gender and ethnicity.
EPI  Reports
The EPI reports available in Aware Lite are based on the EPI Specifications outlined by TEC.  The interface takes
